This update provides a summary of the public meeting of Hastings and Prince Edward District School Board held Monday, January 23, 2017 at the Education Centre. It is an unofficial summary of the meeting; official minutes will be approved at the next meeting in February 2017.

Presentation: 30th Anniversary of the Adventure Class at Queen Victoria

Adventure Class at Queen Victoria School in Belleville began in 1986. It is a unique education program where students in Grades 1-6 learn with the shared support of teachers, families and the community. The Ontario Curriculum is taught in multi-age classrooms where parents as partners in learning, with community engagement and experiential learning. All work together to create rich educational experiences for students and the school community.

Board members approved the review of 15 policies/forms to determine any revisions in order to comply with legislation, guidelines, the strategic plan and current practices:

The review will take place from January to April 2017.

Process for recorded votes (roll-call) at Board and committee meetings
Board members approved a motion to clarify the manner in which a roll-call (recorded) vote should be captured in the minutes of all committee and Board meetings. For all such future votes, the names of the trustees shall appear in the minutes and their vote identified. During the Student Enrolment/School Capacity Committee meeting on November 21, 2016, a counted vote (rather than a roll-call vote), was taken to pass a motion that was made in committee. As per Policy 2: By-laws, Article X, Board and committee meetings are conducted according to Robert's Rules of Order Newly Revised.

  • Awards from the Canadian Association of Communicators in Education
    • Kerry Donnell, Communications Officer, presented a report describing the national Bravo Awards Program which recognizes and honours exemplary work in all aspects of school public relations, communications, marketing and engagement. Two awards were presented to Donnell, on behalf of Hastings and Prince Edward District School Board, at the 2016 Canadian Association of Communicators in Education conference: 1) Award of Excellence for the Say One Nice Thing Campaign; and 2) Award of Merit for the 2015-2020 Strategic Plan: Possibilities Today & Tomorrow.

Teacher Givening Award

  • 2016 Director's Annual Report (Pdf)
    • Mandy Savery-Whiteway, Director of Education, presented this document for information. It showcases and celebrates student and employee learning during the 2016 calendar year, while also describing progress made on the strategic plan.
  • Revised estimates
    • This report provided an update on the revised estimates for the 2016-2017 fiscal year. School board budgets, known as "Estimates," are required to be submitted to the Ministry of Education by June 30 of each year. In late fall, boards are required to update key data included in the Estimates and submit the revised information to the Ministry of Education. Revisions normally incorporate updated information regarding enrolments, prior year actual results and any other known changes since the budget was completed in June.
    • Key changes in board revenues and expenditures for the 2016-2017 Revised Estimates are based on the
      following: higher enrolment, additional funding provided by the Ministry of Education; increased absence replacement costs; and decreased transportation costs.
    • The various adjustments described above result in a drawdown (reduction) of $1,083,881 from the board's accumulated surplus for compliance purposes of $1,318,906. The original Estimates submitted to at the end of June projected a drawdown of $360,139. Administration is working on means to reduce the deficit.
  • Report from Student Trustees
    Highlights from this report included the following:

    • Upcoming conference for student trustees through the Ontario Student Trustees' Association on February 16, 2017.
    • Consideration being given to re-focusing the Student Senate to become more student-led.
