This update provides a summary of the public meeting of Hastings and Prince Edward District School Board held Monday, May 28, 2018 at the Education Centre. It is an unofficial summary of the meeting; official minutes will be approved at the next meeting in June 2018.

Character Moment of Reflection
Each Board meeting opens with a Character Moment of Reflection. At Hastings and Prince Edward District School Board, Growing with Character is our intentional focus on creating safe, caring, respectful and inclusive learning environments where students develop the foundation for good character. Growing with Character is the foundation of the school board strategic plan. Through Growing with Character, we model, teach and expect demonstrations of our eight character traits which are: caring, cooperation, honesty, humour, integrity, respect, responsibility and trustworthiness.
This evening Mike Brant, Trustee for Mohawks of the Bay of Quinte, asked all to reflect on Respect: We value ourselves, others and our environment. We give consideration to the thoughts and actions of others. We treat others as we would want to be treated ourselves, with courtesy and dignity.

17th Annual Great Place Awards

Kerry Donnell, Communications Officer, introduced the 17th Annual Great Place Awards. They are the highest recognition within Hastings and Prince Edward District School Board. Great Place Awards recognize outstanding contributions to support student achievement and well-being, and emphasize the commitment to the Growing with Character attributes described above. The committee reviewed 23 nominations and selected nine award recipients.

Recommendations
Location of November 2018 Board Meeting
Board members approved holding the November 2018 Board meeting at Marmora Public School, Marmora.
For several years, Board meetings have been held at schools in November. This practice supports the 2015-2020 Strategic Plan goals of operating through good governance and being leaders in public education. The meeting will take place on the third Monday of the month, one week earlier than usual, to accommodate submission of the approved audited financial statements within the timeframe set by the Ministry of Education.
2017-2018 Board Policy Review, Part B
Board policies are reviewed every three years to ensure they are relevant are being implemented effectively.
Board members approved revisions to the following policies:
- Policy 3-C: Student Representation on Board
- Policy 3-G: Hospitality
- Policy 11-A: Committee of the Whole Board
- Policy 11-G: Special Educational Advisory Committee
- Policy 11-J: Accessibility Advisory Committee
- Policy 11-K: Parent Involvement Committee
- Policy 18: Learning Foundation
Amendments to the 2017-2018 Special Education Plan
Board members approved the amendments to the 2017-2018 Special Education Plan. Student Services staff reviewed the plan to ensure that current programs and services were reflected accurately. The Summary of Amendments reflect changes to the Special Education Plan during the 2017-2018 school year.
Appointment of the alternate representative to the Ontario Public School Boards' Association
Lucille Kyle, Chair of the Board, was appointed as the alternate representative to the Ontario Public School Boards' Association, effective immediately. This appointment is in effect until the end of the current term on November 30, 2018. New elections will take place at the Annual Board meeting on December 3, 2018. This interim appointment is required due to the approved medical leave of Trustee Mary Hall, who is the current alternate representative.
Tender for parking lot improvements and paving at various schools
Board members approved a tender for parking lot improvements and paving at various schools, as follows:
- Danford Construction Ltd. for $359,777 at Bayside Secondary School;
- Drain Bros. Excavating Limited for $376,022 at Bird's Creek Public School;
- Fitzgibbon Construction Limited for $247,779 at Kente Public School;
- Danford Construction Ltd. for $63,337 at Madoc Township Public School;
- Danford Construction Ltd. for $145,340 at Sir John A. Macdonald School; and
- Fitzgibbon Construction Limited for $244,929 at Tyendinaga Public School.
Tender for roofing repairs/replacements and associated work at Bayside Secondary School
Board members approved a tender for roofing repairs/replacements and associated work at Bayside Secondary School to Dafoe Roofing in the amount of $1,007,493.
Tender for domestic cold water main retrofit at North Hastings High School
Board members approved a tender for domestic cold water main branch retrofit at North Hastings High School to Beacon Construction (Ontario) Limited in the amount of $597,180.35.
Meyers Creek Secondary School name
Board members approved a motion to conduct the process outlined in Procedure 188: Naming Board Properties to rename Meyers Creek Secondary School, in time to meet the September 2018 timeline.
HPEDSB has been made aware of concerns regarding the name Meyers Creek Secondary School. Specifically, that John Walden Meyers may have been a slave owner. An initial review of available sources did not reveal that information.
On May 2, 2018, a former HPEDSB student now attending Harvard University was able to reference historical documentation. In addition, three external researchers provided reports or consultations based on historical facts for reference: David McConnell, an independent historical researcher; Doug Knutson of the Hastings County Historical Society; and Charmaine A. Nelson, a McGill University/visiting Harvard University professor of Canadian Studies.
Trustee attendance at the Canadian School Board Association National Congress
Board members approved the Chair of the Board and Vice-chair of the Board to attend the Canadian School Board Association National Congress in Halifax, Nova Scotia, from July 4 -7, 2018.
The Canadian School Board Association National Congress is an annual conference that brings trustees from across Canada together for professional learning related to current issues. Keynote speakers and workshop presenters include the following:

The Trustee Professional Development budget has been reviewed and there are sufficient funds to support two trustees attending this event.
